Terms and Conditions

Welcome to IEP Spanish Language School! By enrolling your child in our after-school language program, you agree to the following terms and conditions:

This agreement is made between the parent/guardian, on behalf of the student, and IEP Spanish Language School. This ministry aims to help young children improve their second language. We ask for all students to cooperate and for parents to support their child so that together, they can achieve their goals.

1. Enrollment

1.1. Enrollment is subject to availability and completion of the registration process, including payment of any applicable fees. 1.2. All required information, including medical and emergency contact details, must be provided during enrollment. 1.3. Places are limited, and a booking is required before attending. 1.4. Classes may not be open if the minimum required number of students is not met.

2. Fees and Payment

2.1. Tuition fees must be paid in advance on a term-by-term basis. 2.2. A late payment fee of $20 will apply if fees are not paid by the due date. 2.3. No refunds will be issued for missed classes unless due to a medical condition. 2.4. Fees are non-transferable and non-refundable except under exceptional circumstances approved by management. 2.5. Enrollments after the first day of class are subject to availability. 2.6. Payments not received by the due date (first class of the term) may result in forfeiting the student’s place to those on the waiting list, at the discretion of IEP Spanish Language School. 2.7. All payments must be made by Direct Deposit to our bank account. No cash payments will be accepted. 2.8. Each student is entitled to only one make-up lesson per term. To be eligible for a make-up lesson, families must email or phone IEP Spanish Language School prior to or on the same day of the lesson; otherwise, the make-up lesson cannot be applied. The make-up lesson will be credited towards term fees for the next term. Please note that make-up lessons are not to be exchanged for refunds and that all make-up lessons will be applied to the following term only, not the current term. Full fees for each term must be paid in full unless a make-up lesson from the previous term has been applied by IEP Spanish School.

3. Attendance and Punctuality

3.1. Students are expected to attend all scheduled classes and arrive on time. 3.2. Parents/guardians must notify the institute in advance of any planned absences. 3.3. Repeated absences without valid reasons may result in cancellation of enrollment.

4. Behavior and Discipline

4.1. Students are expected to follow the institute’s rules and behave respectfully toward peers and teachers. 4.2. Disruptive or inappropriate behavior may result in a warning, suspension, or removal from the program, depending on the severity. 4.3. Bullying of any form will not be tolerated and may lead to immediate dismissal from the program.

5. Safety and Supervision

5.1. The institute is responsible for supervising children only during scheduled class times. 5.2. Parents/guardians must drop off and pick up their children promptly at the start and end of classes.

5.3. Parents/guardians must notify the teacher or office if someone other than those listed on the enrollment form will collect the child.

6. Health and Hygiene

6.1. Children who are unwell must not attend classes to ensure the safety and health of others. 6.2. In the case of illness or injury during class, parents/guardians will be notified immediately. 6.3. The institute reserves the right to exclude students showing signs of contagious illnesses. 6.4. Parents/guardians must inform the teacher if the student suffers from any ailment, illness, or requires special medical attention.

7. Liability

7.1. While the institute will take all reasonable precautions to ensure the safety of students, it is not liable for injuries, accidents, or loss of personal property. 7.2. Parents/guardians are responsible for any medical expenses arising from injuries sustained during the program. 7.3. If the teacher determines that the student needs medical attention and the parent/guardian cannot be contacted, the teacher is authorized to seek medical attention at the parent’s cost.

8. Media and Privacy

8.1. By enrolling, parents/guardians consent to the use of their child’s photographs or videos for promotional and educational purposes unless they opt out in our enrollment form. If the space is left blank, we will take it as a yes. 8.2. Personal information collected during enrollment will be kept confidential and used solely for administrative purposes. 8.3. Written consent is required to disclose private information to another person unless required by law.

9. Program Changes

9.1. The institute reserves the right to modify class schedules, instructors, or curriculum as necessary. 9.2. Parents/guardians will be notified in advance of any significant changes to the program.

10. Free Trial Class

10.1. IEP Spanish Language School offers a no-obligation free trial class for first-time bookings. 10.2. If you choose to continue after the trial, the cost of the trial class and remaining classes will be included in the term fees.

11. Termination of Enrollment

11.1. The institute reserves the right to terminate enrollment for failure to comply with these terms and conditions. 11.2. Parents/guardians must provide at least two weeks’ notice in writing if they wish to withdraw their child from the program. 11.3. If a student withdraws after the term has commenced, the number of classes attended will be charged, and the remaining amount will be refunded. A cost of $30 for administration in the withdrawal process will be charged.

12. IEP Spanish Language School Agreement

12.1. Tutors will provide education designed to meet your child’s individual learning outcomes.
